| Salem, NH - February 25, 2004 -iCentrix Corp. (www.icentrix.com) of Salem, NH has developed a suite of real-time, management information software modules that help an agency bridge the gap between individual goals and a cohesive, company-wide plan. Designed to extract data from any enterprise system and using a centralized database as the repository for reporting, this approach enables one to have a multi-dimensional view of the business and overall benchmarks that never before existed.
Four Main Subsystems Of A Business Intelligence Solution For Behavioral Health
Says Steve Keller, President of iCentrix, "Being able to establish performance standards is something that most agencies have been doing well. However, managing to a company-wide plan, in real-time and with access to source level detail has been a challenge." Keller cites that most agencies are under extreme financial pressure and are trapped within the confines of batch reports run by understaffed IT organizations. Using executive dashboards or balanced scorecards that are up-to-date and simple enough for a non-technical user has been elusive. With the iCentrix approach, these can be made available throughout the organization, including to each clinician. Now, looking at one's productivity early in a reporting period can be as simple as one click.
Example of an InstaView Chart: Agency-Wide Plan and Comparison to Actual Results
Having been deployed in several agencies, this approach is changing the way one manages. Carol Farmer, Associate Executive Director for Community Council of Nashua, New Hampshire, has pointed out that the old way is no more. "It was like driving with your dashboard in the trunk of the car," remarks Carol Farmer. "We were looking for a better way to get everyone on board by creating a collaborative environment."
Example of InstaView Drilldowns to Detailed Information
Carol says, "With the iCentrix InstaView reporting, the entire agency has access to detailed information that had traditionally been provided only by batch reports. Having the ability to drill down to the event level in real-time, staff are better positioned to manage their activities and work towards the plan. What once spanned many reports, we can do on one browser page, freeing up our valuable IT resources for other tasks."

iCentrix InstaView reporting with drill-downs has helped agencies in a number of areas. Referred to as Key Performance Indicators, or KPI's, productivity management has been most popular. Different roles or views into the system are designed in to protect access to sensitive client information. What a clinician sees could be entirely different from that of a supervisor, program director or senior manager. Metrics have already been developed around productivity, revenue, admissions, bed days, caseload and other areas, including trends over time with historical data for comparison. New KPI's are being added routinely.

Another area of high demand is around ad hoc reporting. Using state-of-the-art Business Intelligence technology and a data warehouse as the foundation, one is able to develop up-to-date, custom reports on the fly.
Microsoft Excel Is Linked To The Data Warehouse to Provide Powerful Analysis Capabilities
Doug Philipon, VP of Sales and Marketing, says, "This is a breakthrough -- providing easy access to all that stored data. Meeting the demands of the CFO or a Program Director for a complex report can be a technical challenge. Incorporating unique business rules while maintaining consistency from report to report involves queries and up-front analysis. Here, time becomes the enemy, as these reports are often only useful for that moment. And, they never allow the analyst to see the data behind the numbers."
In working with various agencies, it is clear that there is commonality in the information people need to focus on for process improvement. One such area that has generated much excitement is with cost of service. Piloting a project with Diane Bell and Craig Fair of Behavioral Management Solutions, Inc. (BMS), of Johnson City, TN, iCentrix has developed an ad hoc reporting solution for costing. As consulting experts in the cost models for behavioral mental health agencies, both Bell and Fair saw similarities with InstaView reporting capabilities used for managing productivity.
Working with BMS, a model was designed to allocate expenses throughout an organization. With the enterprise system and financials all tied to the data warehouse, one is able to tie cost back to the department, to each staff member, and to each service performed.
Example of a Cost Analysis Chart: Profit Per RU Per Service
Says Fair, "One of the most difficult tasks for an agency is knowing one's true costs. Being able to understand why it costs more to deliver a particular service in one department over another is invaluable." Diane Bell adds that, "Being able to anticipate costs, especially when competing for new contracts, can have a huge impact over the long run. This is even more powerful when revenue data is added to the analysis."
